Long Hollow Staff Meal & Coffee Policy
At Long Hollow Church we want to steward what the Lord has given us with excellence and integrity. With that in mind, we want to clarify how we interact with volunteers when it comes to purchasing meals and coffee. We do not want to stop all meetings where meals and coffee are involved, but we do want you to think outside the proverbial lunchbox. Having a meal budget line is a tool to meet with volunteers but it shouldn’t be the only tool.
While away from the office:
If an employee is traveling for work, then the church will reimburse the employee for their meals.
Total per diem is $70 a day, as mandated by the IRS. If food is provided then you will be on your own for any purchased meals. (i.e - camp)
Moving forward:
- All meal and coffee meetings will come from a pre-approved budget line in each department that will be monitored by supervisors and the finance office.
- You will not be limited in the number of times you can buy meals or coffees for volunteers as long as you stay within the approved budget.
- It’s recommended that breakfast purchases do not exceed $15.00, $20.00 per lunch, and $25.00 for dinner.
- You are permitted to pay for both your meal and the individual’s meal.
- Whether on your Visa Report in ESP or reimbursement, list the person’s full name and the nature of the conversation. i.e. John Smith - “Coaching meeting with HS Small Group leader.”
- Team lunches are permitted once per quarter at the discretion of the Director.
- Managers and Directors are responsible for enforcing these policies, checking visa reports, and checking in with team members when policies have been broken.
